We recently launched the Phone and Video Meetings add-on to help you continue to engage with customers while shifting to physical distancing. Using phone and video for appointments makes the idea of how to meet more complex.
To help keep things simple, we wanted to take this opportunity to unify the look and feel of two integral but very different looking pieces of Coconut: the Dashboard and the Schedule.
Unifying the look and feel isn’t just about aesthetics. When everything is using the same visual language you no longer need to mentally adjust when moving between pages in the app. Creating a visually seamless experience helps you focus on your work and not on the software.

This guide will overview the changes for the schedule redesign and will cover the following key adjustments:
You’ll notice that many of the changes are aesthetic in nature and are meant to help users quickly see the source of their appointments and navigate the calendar in an intuitive way.
Who will be affected by these changes? Any users who take appointments, or those who manage teams which take appointments - Tellers, Service providers, Sales Representatives, Financial Advisors, Supervisors, and Branch Managers etc.

As of June 4th, you may have noticed a banner at the top of the schedule that will allow users to toggle to the new design. Choosing to use the new design will only change the schedule for that individual - everyone else will stay on the classic version until they opt in. If you prefer to go back to the classic version, you can simply toggle off.
The preview is helpful not only for users to get comfortable with the upcoming changes, but also provides Coconut with an opportunity to make any adjustments prior to the full release. Improvements to your Schedule
Changes to Calendar controls and filtering:
Calendar Date Controls
In the classic version of your schedule, you have control over the date range you are viewing: this isn’t changing with the new design. In fact, these controls have been reorganized to be grouped together in the top left above the calendar - more intuitive and easy to use.
The Calendar Date Controls include:
- Today: shortcut to jump back to the current day on the schedule
- Day/Week Navigation: used to move to the previous or next day/week (depending on which view you have enabled)
- Current Date Range: shows what day/week you are currently viewing on the calendar
- Date Selection: open a calendar to pick any date in the past or future for quick navigation. This was previously a separate option, and is now accessible by clicking the current date range.
Calendar View and Filter Controls
You can streamline what information is displayed on the calendar based on day or week, status, event type, location or staff assigned to the events.
These controls have been reorganized to be grouped together in the top right above the calendar. You can show a single day or full week on the calendar. You can also filter events by status or type.
Selecting a location and staff has been changed to radio options, to re-enforce only one selection possible at a time, with the exception of the ability to choose up to 10 staff at once using check box options on the Day view.
Changes to Calendar and Events:
Unbookable hours (such as outside of when your branch is open) are represented by a light grey block on the calendar.
When using the full Week view of the calendar, the current day is highlighted with a light blue background.
There are three types of events:
- Appointment: events that are pre-booked engagements
- Walk-in: events that are on-demand engagements
- Busy: events that represent time a staff member is not available to meet with clients during working hours (lunch, personal appointments etc.)
In the new design, appointments are represented by a calendar icon and blue colour.
In the new design, walk-ins are represented by a walking person icon and green colour.
There are two types of busy events that may appear on your schedule based on the creation source: either from within Coconut Calendar or an external calendar (Microsoft Exchange, Google Calendar, etc.)
In the new design, Coconut Calendar busy events are represented by a lock icon and orange colour.
In the new design, external calendar busy events are represented by a logo icon and grey colour.
Engagements with your clients can be in different states of completion, determined by the status of the event. It is important to track these different states in order to analyze the operations at a branch, and determine if additional reminders or notifications are needed to increase the number of arrived and complete appointments. For more info on how to do this, refer to this article. Keep in mind, only appointment and walk-in events have a status.
- Confirmed - appointment has been booked, but hasn’t occurred yet
- Arrived - client has arrived but engagement hasn’t started yet
- In Progress - engagement is occurring now
- Served - client is done with engagement but staff member has tasks to do before they complete the appointment
- Complete - engagement has concluded
- No Show - client never showed
- Cancelled - client or staff cancelled before the engagement time
In the new design, the status is represented by a small badge made of an icon and colour that is added to the main event type icon.
In the new design, we do not show anything new for the confirmed status. Appointments without the small badge are confirmed.
