The Booking Shortcut tool (or Shortcuts for short) on your left side navigation bar allows you to create a direct link to your schedule filtered by Staff, Service, Location, or a combination of those, making it easier for your clients to schedule a specific type of appointment.
When to use a booking shortcut
You can use booking shortcuts to direct your clients to a part of your booking process, skipping some of the standard steps in the booking process.
- Create a booking shortcut with your staff name and location and include the link in your email signature. Your clients will be able to book an appointment directly with you, without having to select a location or a staff member. They will only have to choose a service that you offer, and a time that works for both of you to meet.
- Create a booking shortcut with a service, location, and your staff name if you’re sending out a targeted marketing campaign email. If you are introducing a new or seasonal service, and want to encourage your clients to book some time to discuss the details with you, clients who click this link will simply have to select a time. The service, location pick, and staff pick options will be skipped.
Services, staff, and locations can be marked as “invite-only” when they are being set up. The only way for a client to book these types of appointments is if they are given a booking shortcut.
Booking Shortcuts is available to Staff, Staff Plus, Staff Advanced, Managers, and Administrators roles and can be created on behalf of their colleagues. Kiosk, and Call Center Staff do not have access to Booking Shortcuts at this time.
You will find the Create a Booking Shortcuts tool via the Shortcut item in the left side navigation bar of your Coconut Calendar staff view.
Select the Staff. By default, the name of the Staff who is currently logged in will be pre-populated in this field. If you start typing another Staff (1), a drop down will appear with a list of users. ( Please note that the dropdown list currently only load the first 25 users; searching in the select box will uncover more.)
If applicable, type a Location (2), a Service (3), or a Service Category (4) based on the shortcut you’d like to create.
When different fields are specified, the Link (6) at the top of the Booking Shortcuts menu will change. Refer to the Slugs article for information on how to make your links human-readable.
To copy the Booking Shortcut link, click the Copy (7) button on the right of the text box. Paste the link in a new tab on your browser to preview where your clients will be directed.
Note: you can enter either Service (3) or Service Category (4), not both at the same time.
You can set the Language (5) you would like the Booking Shortcut to appear in, if your company is configured for French and/or Spanish. Selecting Default will fallback to the Client View’s default language.
Additional Location parameters:
New Client View configuration is available to control the search radius used when clients are looking for locations. Set the same radius for all searches, or include a radius in the booking link for even more flexibility.
*The new configurations were not added into the Booking Shortcut creator.
- Regional searches that are now accepted in the booking shortcut links:
- Geolocation radius or "within a distance" options are now available.
This new update allows administrators to set a search radius to be used for all searches. And there is also a new parameter that allows the distance to be set it through the booking shortcut.
To update the default search radius, go to the Settings > Client View > Locations Display
To see the geolocation radius parameter working, add ?within=100 to the URL and click the 'Use My Location' option to restrict the search.
