Group Appointments are appointments with multiple attendees.
Managing Group Appointments
Group Appointments are best utilized for appointments with Services that are designed for multiple attendees. This may include workshops, informations sessions, classes or other similar services.
Group Appointments work differently than client appointments. They must be scheduled internally into your calendar in order for the Client View to show booking availability. You get to decide when it happens and how many people can attend.
Once created, the appointment will display on the Schedule with the current number of attendees updated as clients are added.
When the group service is in initially set up in Services, there is an option to select Staggered Start so that attendees can be serviced at any time between the start and end of the appointment and do not have to show up at any exact time.
Only Administrators can create Group Services.
Administrators, Managers, Staff Advanced, Staff Plus and Staff all have the ability to create group appointments.
To add a new group appointment, click the +ADD button at the top of the Schedule, or click anywhere within the Schedule.
Similar to creating a regular appointment, the Event Window requires much of the same information to be inputted.
Enter the Details (1) for the appointment you are booking, including the service, staff member, time and status. Ensure that the Location and Date are set correctly. Enter the Attendee Limit (2) to either a set number or unlimited.
It is not required to have any prior attendees in order to create the appointment, however you can Add Clients (3) by using the Search Existing Clients Field or Adding a New Client.
Remember to Notify Clients and Save (4).
