My Profile is where the basic information of the user currently logged in can be updated.
Managing Your Profile
Staff member information is also found under the Staff tab, however the Profile refers only to the staff member who is logged in.
Basic information includes your first and last name and the email address where you will receive alerts and notifications. There is also the option to include a BCC or secondary email.
Your Username will be what you use to log in and usually consists of your first initial followed by your full last name.
Your Password can be changed through this screen.
You can set the Language you would like to the system to appear in, if your company allows for French or Spanish.
Daily Limit refers to the number of appointments you can take per day. You may wish to set this to unlimited so that all of your available time can be booked through the Client View. If you want to have more time in the day to complete other tasks, you can set a limited amount of appointments. You may choose a number of appointments between 1 - 30.
The role of the user is listed here as set by an Administrator, who also has the ability to mark the staff member as Private.
The Preferred Timezone refers to the timezone in which your calendar appears. It should be set to the same timezone as the location where you take appointments.
The Meeting Information field is there for you to include any information you wish to be sent to your clients in their notifications upon booking a meeting with you. This may include instructions such as a room number where you’re located. Anything that is inputted here will be included in email notifications sent to your clients.
The Sync tab is where you can enable One-Way or Two-Way Sync so that you may have your Coconut calendar merge with your personal calendar.
One-Way Sync adds the appointments created in Coconut to your Google Calendar, Apple iCal or Outlook Calendar.
Two-Way Sync ensures that appointments created in either calendar show up in both of your calendars so if you often book appointments or meetings into your Google or Outlook calendar, they will be visible in the Schedule view of Coconut.
All staff members can access and edit their own Profile.
Only Administrators and Managers have the ability to mark themselves as Private in My Profile, however, they have the option to mark any staff member private through the Staff tab. Being marked as private means that this staff member will not show up as available in the Client View to book appointments with, they can only be booked internally through the Schedule View.
From your Dashboard, select the Profile Icon (1) and access Edit Profile (2) to edit your personal preferences, as well as to set up and manage your email sync options.
Edit your Contact Information (1) including first name, last name and email address, and add a BCC Email (2) if you’d like to have email notifications sent to an additional address. For multiple BCC Emails, separate the email addresses by a comma.
Update your Username and Password (3). Passwords must be a minimum of 10 characters.
If available, select your user Language (4).
Edit the Daily Limit (5) of appointments that you can take in one day. Once this daily limit is reached, clients will no longer see available appointment slots on that day.
Your Role (6) is listed here, although you cannot edit it.
Select your preferred Time Zone (7), in which your schedule will be displayed.
You can send your clients specific instructions in their email notifications by adding text in the Meeting Information (8) field.
If your company uses Google Calendar or Outlook.com, individual users will be able to sync to their calendar through the Sync (9) tab. If your company uses Outlook365 or Outlook for Enterprise, please have an account administrator contact your Coconut Software Customer Success Coach to inquire about integrating
