Your Client View is the online booking system as it appears to clients.
Only Administrators have the ability to view or change Client View Settings.
Managing Client View Settings
Settings that affect how your Client View behaves are configured in your Settings (1) tab then selecting the Client View (2).
Status is the option to turn on and off the ability for your clients to book appointments online. If the Client View is disabled, the booking page will no longer exist.
Layout gives you the option of switching the layout of your Client View to either Classic or Modern. To view what each would look like, you can select the View button.
General Settings determine how the Client View will be set up and how specific options will be shown to the client.
Language configuration: You can set the Language you would like the Client View to appear in by default if your company allows for French or Spanish.
You can choose to have either a Location or Service as the first step for your client to booking their appointment. The selected option will be the first page to appear after your client follows your link to book an appointment.
- If all or most of your locations offer the same services it is beneficial to have a location chosen first as your client can choose the most convenient option without losing out on the service they want.
- If services are limited to specific locations, the client should select a service first as only the qualified locations will appear as options on the next step.
You also have the option to set whether clients are limited to one service per booking or can choose multiple services. Group appointments are always limited to one selected service per booking.
Service Categories Displayed is where you will choose the way your services appear and function on the Services page of the booking process.
- If you’re making use of Categories you can have the lists collapse as the client clicks through each of them.
How are Locations Displayed is the option to enable auto-search so that nearby locations will automatically be found and listed on the locations step of the booking process. We recommend using this feature if you have less than 50 locations, to ensure the page load time is not affected.
Can clients select a staff member? This option allows you to have the option of clients being able to choose their own staff member or not be able to choose. You can also choose to let the client see on the Client View which staff member they will be meeting with or not to see this information.
Note: If you select the option to not allow the client to select the staff member and to hide the staff member's information, this will still be shown on the confirmation email.
- If you want a random staff member to be assigned to each appointment, you can select the option for the client to not be able to select a staff member so that a random staff will be assigned.
To have appointment slots based on Service means the schedule shown on the Client View will be based on the length of a service, reducing potential down time. This option will maximize the amount of appointments that can be taken in a day.
Time based availability means the schedule shown on the client view will be based on a specific interval, giving your customers more flexible booking options. For example, you may give available appointment options every half an hour.
Booking Policies refers to the different amounts of time that are required before a client can book and/or cancel their own appointment. Keep in mind, staff have the option to make changes to an appointment at any time.
How much notice is required for a client to cancel their appointment? This setting enables a minimum amount of time before a client can cancel an appointment. It can be set to hours, days or weeks. You also have the option to set no required time. However, if clients are able to cancel at the last minute there will be limited opportunity for another appointment to be booked in that space.
How much notice is required for a client to reschedule their appointment? This setting enables the minimum amount of time, before an appointment that a client can reschedule. You can set the time to hours, days, weeks or require no time beforehand. If no time is required before the client can reschedule an appointment at any time.
How far in advance can a client book an appointment? This setting enables the maximum amount of time into the future the client can schedule their own appointment. When booking through the Client View, availability will only show the selected number of days/weeks past the current date. The options range from having no limit to up to 20 weeks into the future.
How much lead time is needed for an appointment? This setting enables the maximum amount of time, before an appointment that a client can schedule. You can set the time to hours, days, weeks or require no time beforehand. If no time is required before the client can schedule an appointment at any time, it may cause you to be unprepared as the client could book an appointment at the last minute. This setting can be edited for individual appointments and group appointments.
Administrators can enable the Multiple Attendees option so that customers can add additional attendees to their appointment through the Client View.
You can limit the maximum number of attendees or allow unlimited additions.
The option to Apply first attendee's answers to all means that your clients will only have to answer the questions associated with their service once.
Information entered under Additional Information will appear on the Client details page under Additional Attendees. In here you can state the reasoning as to why an additional attendee would be added to the appointment.
Wait List and Client Details
The Wait List function can be turned on so that clients will be able to request a specific date and time for their appointment if it is not available.
This request will be sent to an email address of your choosing and will be shown in the Schedule view under the Waitlist icon.
Client Details are the information fields your clients will complete when booking online. You may designate these fields to be either required or optional. First name, last name and email address are always mandatory.
Note: A mobile phone number is required for your client to receive SMS text messages.
Clients need to be aware of all of the terms of service and privacy policies before they book an appointment.
Embed Client View
You can Embed your Client View so that it appears within a page on your website. The embeddable client view makes it easy to keep your clients on your website.
