Managing Hours allows for you and your team to setup scheduling availability. Availability can be configured by location, by staff, and by specific open/closed days.
The Hours by Location tab allows you to specify the regular hours of operation offered by each location for bookings. Location hours can be inputted for each day of the week, Monday to Sunday, and take effect immediately.They are set to recur every week until a change is made.
Within the Hours by Staff tab, staff availability can be created, edited, or deleted. Setting staff availability is useful when a staff member’s availability is different from the location hours of operation. Unique hours can be set by staff at different locations.
You can set an Effective Start date and Effective End date to specify the range of time that this availability will take effect in the Schedule.
If a staff member is aware of their hours in advance, they have the option to input multiple staff availability entries for themselves ahead of time, based on their changing hours.
For example, if a staff member receives their schedule for the next three months, and they can see that their availability changes every month, they can enter three different staff availability entries today, one for each range of time.
Hours by Staff can also be manually changed on a day-by-day basis within the Schedule View. If you notice that your Hours by Staff availability is not taking effect in the Client View, there have likely been manual edits to the availability in the Schedule View.
You can easily close off a certain day’s availability for all staff, within the Open/Closed (Everyone) tab. This is helpful for holidays, or during planned location shutdowns.
Administrators can edit location availability for all locations, and can create, edit or delete all staff availability entries, and open/closed availability.
Managers can edit location availability for the locations that they are assigned. Managers can also create, edit or delete staff availability for the staff members that are assigned to the specific locations in which they manage.
Staff Advanced, Staff Plus, and Staff can create, edit and delete their own staff hours of availability.
Managing Hours by Staff
Create an entry for a weekly recurring staff availability by navigating to Hours, and select Staff. Click Add to set up hours and availability, or click on “More” to make changes to set hours and availability.
You can specify which Location (1) and Staff you wish to set your hours for. The Staff option will only appear once a Location is selected.
Choose a date range for the Effective Start Date and Effective End Date (2) for which these hours of operation are valid.
Available Hours (3) can be set up for each day of the week. These set hours will repeat from the Effective Start Date through to the Effective End Date.
Set a day’s status as Unavailable (4) if the staff does not accept appointments.
If your availability matches the location hours, there is no need to follow the above steps. If your availability changes weekly, open and closed times can be managed directly through the Schedule View.
Managing Location Hours of Operations
Hours of operation for a location can also be managed through Manage Hours. Click on the Locations tab, and click More (1) next to a location. These hours will be displayed in your Client View, and are considered regular hours of operation.
Managing Holiday Hours
Lastly, also within Manage Hours is the Open/Closed (Everyone) tab. Click Add to create a new entry for a specific day that you wish to close off or open for all staff. Specify a title, a location, a date and an time. Click More to edit an existing Open/Closed (Everyone) entry.
